Custom platform or existing software?

José Manuel Almanza MedranoBy José Manuel Almanza Medrano · Founder of MXIM

Choose an existing tool when it fits the process without creating extra work. Consider a custom platform when a critical workflow, integration or access model cannot be covered reliably. Some problems are better solved by clarifying responsibilities than by building software.

Map the workflow first

Describe who starts a request, who reviews it, which data is needed and where tracking breaks down. Include exceptions, not just the ideal path.

Software cannot fix unclear ownership by itself. Resolve responsibility for maintaining information before choosing technology.

When an existing tool is enough

Common scheduling, contact and document tasks may already have a suitable solution. Evaluate the full workflow rather than a feature checklist.

  • No unnecessary duplicate entry.
  • Permissions match the organization.
  • Useful data exports.
  • Acceptable limits, costs and integrations.

When to explore custom development

Custom development can be worth exploring when important business rules are unsupported or disconnected tools repeatedly lose context.

Illustrative example: a client portal might combine project documents, approvals and status with separate access for each company. This is not an MXIM case-study claim.

Scope a complete first release

Pick one workflow that can finish end to end. Define users, inputs, states, permissions and a verifiable outcome. Separate essential functionality from later improvements.

For document access, specify who uploads, who can view, what changes mean and how access is revoked.

Compare the full cost and ownership

Include setup, licenses, integration, migration, training, support and maintenance. There is no universal project price without scope.

Agree on data ownership, access handover and continuity if the supplier changes.

  • Authentication and organization-level access.
  • Backup and recovery.
  • Important action logs.
  • Updates and incident handling.
  • Documentation and export.

Define success before building

Choose a process signal such as complete requests, duplicate entries, errors or handling time. Record a baseline and use the same method later.

MXIM develops internal platforms, portals and automations. A smaller integration may be a better recommendation than a new platform.
